1. Agreement to Terms

By creating an account or using RosterEasy, you agree to these Terms of Service. If you are registering on behalf of a league or organization, you represent that you have the authority to bind that organization to these terms. If you do not agree, please do not use the platform.

2. Service Description & Beta Disclaimer

RosterEasy is a league management and team optimization platform for youth sports. Core league management features (registration, communication, exports) are provided free of charge. The team optimizer is available as a paid feature via a per-season license.

RosterEasy is currently in an early-access period. During this time, features may change, be added, or be removed without prior notice. We may also offer promotional pricing or free access to paid features at our discretion. Early-access status does not affect your rights under these Terms or our Privacy Policy.

3. Account Responsibilities

You must provide accurate, current information when creating your account.
You are responsible for maintaining the security of your password and for all activity that occurs under your account.
You must be at least 18 years old (or the age of majority in your jurisdiction) to create an account. Player profiles are managed by a parent or guardian, not by minors directly.
Notify us promptly if you suspect unauthorized access to your account.

4. Acceptable Use

You agree not to:

Use RosterEasy for any purpose other than managing youth sports leagues and related activities.
Upload false player data or manipulate skill ratings to gain an unfair advantage in team balancing.
Harass, threaten, or abuse other users through any communication features on the platform.
Attempt to reverse-engineer, scrape, or interfere with the operation of the platform.
Share your login credentials with others or create multiple accounts to circumvent restrictions.

We reserve the right to suspend or terminate accounts that violate these guidelines.

5. Optimization License & Pricing

RosterEasy's team optimization feature is available through a per-season license based on the number of players in your league:

Up to 50 players: free — no payment required.
51+ players: a one-time season fee applies based on your player count tier. Current pricing is listed on our pricing page.

Each license grants unlimited optimizer runs for 60 days from the date of purchase. After 60 days, your rosters, teams, schedules, and all league data remain intact — you simply cannot run new optimization passes without purchasing a new license.

If your league grows into a higher tier after purchase, you pay only the difference to upgrade.

6. Payment Terms & Stripe Connect

All payments are processed securely through Stripe. RosterEasy does not store your payment card details.

Prices and fees are displayed before you complete a transaction. By submitting payment, you authorize the charge.
League administrators may connect their own Stripe account to collect registration fees from parents. In this case, the league administrator is the merchant of record for those fees — RosterEasy acts solely as the platform facilitating the transaction.
RosterEasy is not responsible for disputes between parents and league administrators regarding registration fees collected via Stripe Connect.

7. Refund Policy

Refunds for league registration fees are handled at the discretion of the league administrator. RosterEasy facilitates the payment process but does not independently determine refund eligibility for league-specific fees.

For RosterEasy platform fees (optimization licenses), refund requests may be submitted within 14 days of the charge. We will review requests on a case-by-case basis. To request a refund, contact us at support@rostereasy.com.

8. Communication Consent

By creating an account, you consent to receive transactional emails from RosterEasy, including:

Account-related notifications (password resets, email verification).
League announcements and schedule updates sent by your league administrator through the platform.
Product updates related to your account or league (e.g., season reminders, new features).

You may opt out of non-essential communications at any time by contacting us. League-specific announcements are managed by your league administrator.

9. Data Ownership & Export

Data you enter (player information, league settings, rosters, etc.) remains yours. By using RosterEasy, you grant us a limited license to process and display that data solely for the purpose of providing our services.

You may export your league data (rosters, registrations, schedules) at any time using the built-in CSV and PDF export features. Upon account deletion, you may request a full data export by contacting support@rostereasy.com before initiating deletion.

10. Intellectual Property

All content, design, code, algorithms, and branding associated with RosterEasy are owned by RosterEasy or its licensors. You may not copy, modify, distribute, or create derivative works from any part of the platform without prior written permission.

11. Availability & Limitation of Liability

RosterEasy is provided on an "as is" and "as available" basis. We strive for high availability but do not guarantee uninterrupted access. Scheduled maintenance, unexpected outages, or third-party service disruptions may temporarily affect availability. To the fullest extent permitted by law:

We make no warranties, express or implied, regarding the reliability, accuracy, or availability of the platform.
We are not liable for any indirect, incidental, special, or consequential damages arising from your use of (or inability to use) RosterEasy.
Our total liability for any claim related to the service will not exceed the amount you paid us in the 12 months preceding the claim.

RosterEasy is a tool for league management. We are not responsible for decisions made by league administrators, coaches, or other users based on data generated by the platform.

12. Indemnification

You agree to indemnify and hold harmless RosterEasy, its owners, and its affiliates from any claims, losses, or damages (including reasonable legal fees) arising from:

Your violation of these Terms.
Your misuse of the platform, including collecting or sharing personal data of players or parents beyond what is necessary for league operations.
Disputes between you and other users (parents, coaches, league members) related to league fees, team assignments, or other league decisions.

13. Termination

You may delete your account at any time through your account settings or by contacting support. Upon deletion, your personal data will be removed in accordance with our Privacy Policy.

We may suspend or terminate your account if you violate these Terms, engage in fraudulent activity, or if required by law. Where possible, we will provide notice before termination.

14. Dispute Resolution

If a dispute arises under these Terms, you agree to first attempt to resolve it informally by contacting us at support@rostereasy.com. We will make a good-faith effort to resolve the issue within 30 days.

If informal resolution fails, any dispute shall be resolved through binding arbitration administered under the rules of the American Arbitration Association. The arbitration will be conducted in English and the decision will be final and binding. You agree that any arbitration will be conducted on an individual basis, not as a class action.

15. Governing Law

These Terms are governed by and construed in accordance with the laws of the United States. Where arbitration does not apply, any legal action shall be brought in the federal or state courts of competent jurisdiction.

16. Changes to These Terms

We may revise these Terms from time to time. When we make material changes, we will notify you by email or by posting a notice within the application at least 14 days before the changes take effect. Continued use of RosterEasy after the effective date constitutes acceptance of the updated Terms.
